DEVELOPMENT ASSISTANT
Position Concept: The Development Assistant provides administrative and clerical support for the Development department. Reporting to the Development Director, the Assistant is responsible for gift and pledge recording, generating and mailing acknowledgement letters, assisting with sponsor benefit fulfillment and donor research. The Development Assistant also prepares department mailings, maintains development information and files and assists with the day-to-day office operations of the department. The Development Assistant position is a full-time hourly position with benefits.
Reports to: Development Director
POSITION RESPONSIBILITIES:
- Accurately process all daily gift receipts including contributions, pledges, and other necessary information.
- Prepare accurate daily deposit batches for the business office and periodically audit these records to ensure reconciliation with the general ledger.
- Maintain accurate documentation of gifts of securities, matching gifts and outstanding pledges and ensure proper invoicing of all installment payments.
- Prepare accurate development correspondence including gift acknowledgments, invoices, invitations and other general correspondence.
- Assist the Major Gifts and Stewardship Manager with Sponsor Benefit fulfillment.
- Record and manage reservations to Development Events.
- Conduct individual donor prospect research and prepare Profile Reports.
- Prepare mailings for the annual fund, ArtsWave Special Gifts Campaign, event invitations, and other department communication.
- Maintain and insure the accuracy and confidentiality of complete, accurate and orderly files (paper and electronic) for all contributors and select development prospects, as well as departmental information files used for research and reference.
- Provide administrative support for development staff.
- Conduct other duties as assigned by the Development Director.
SKILLS REQUIRED:
- Strong written and verbal communications skills.
- Accuracy and attention to detail.
- Ability to manage large amounts of information and keep accurate and well organized records.
- Strong word processing and data base skills – familiarity with Microsoft Word, Excel and Outlook required. Familiarity with development software and/or Tessitura a plus.
- A desire to work in a fast-paced environment, and the ability to successfully manage several priorities on a regular basis.
- Professionalism to successfully interact with board volunteers, sponsors and other high level donors.
- A passion for theatre and/or the arts is highly desirable.
- Bachelor’s degree or equivalent experience preferred.
